Medical equipment sourcing in China (2026): who to use for which job?
Last updated
Send the equipment list or tender schedule, with quantities and destination. Sinospect sorts it by job and replies with the route, the missing evidence and a quotation for the work it takes on. Send your equipment list →
Firms are named where their own published pages describe the job, checked on 17 October 2026. The lists are by job, in the order a buyer meets them, and the order within a row is not a ranking. Sinospect appears on the six jobs it does.

Finding the manufacturer and checking it
Find and compare manufacturers
Sinospect approaches the makers in your category, collects their quotations at your quantities with their certificates and test reports, and sends a written comparison with a recommendation. A sourcing round costs USD 1,500 per product family. Before it starts, Sinospect and the buyer agree the product family, models, quantities, destination and deliverables. Requests go to the makers on the next working day after payment, and the comparison follows six working days later. The comparison records the quotations received, the documents obtained and the evidence still missing; factory visits, laboratory tests, samples and regulatory submissions are quoted separately. Book a sourcing round
CMEF is China’s medical equipment fair, with its 2026 edition in Beijing from 21 to 24 October. Made-in-China.com lists medical equipment suppliers audited on site by inspection firms, and Global Sources lists medical equipment from suppliers it has verified. ET2C offers sourcing, product development and quality and compliance paperwork for medical products. A listing or a booth is a lead: check the maker before you commit.
Ask for: the legal manufacturer and factory address behind each offer, quotations at your quantities and each maker’s test reports.
Check the maker and its papers before a deposit
Sinospect’s supplier verification reads the registry, the NMPA records and each certificate at its source, matches them to the quotation and records the findings for your approval decision. Desk check: USD 190 to 290; video verification: USD 349; site visit: USD 350 to 590 per day. Illustrative pre-payment report (PDF) Request a supplier check
SGS publishes supplier risk rating and checks of buyers’ supplier pre-qualification for medical device supply chains, and QIMA publishes supplier audits. The guide to verifying a Chinese medical device manufacturer shows which records to line up and how to read each number.
Ask for: records you can search yourself: business registry, NMPA registration or filing (or, for an export-only model, the export sales certificate (II)), production licence or filing, and certificates matching your model.
Approval and test evidence
Approval in your destination market
Approval belongs to the legal manufacturer and the representative the destination requires. Emergo by UL offers local representation in 19 markets, including the EU, the UK, the US and Saudi Arabia; Obelis EU authorised representation; and Registrar Corp FDA US agent services for device makers outside the US. For Saudi Arabia, Freyr and MRG publish SFDA registration services; MRG also covers Egypt and the UAE. Where the EU route requires a notified body, BSI is one (2797), as well as a UK approved body (0086), and the NANDO database lists the designated bodies. Under 21 CFR 807.39, an FDA establishment registration does not denote approval, so check the device’s clearance or approval in the FDA databases, such as the 510(k) database, or its exemption.
Ask for: the approval route for your country and device class, the registration holder in writing, and the notified body’s NANDO entry where one is required.
Product testing
Intertek publishes electrical safety and EMC testing to IEC 60601-1 and 60601-1-2. Nelson Labs publishes biocompatibility testing and sterilisation validation. SGS covers biocompatibility, IEC 60601, sterilisation and packaging, and Bureau Veritas electrical safety and biocompatibility testing with market-access support. The guide to buying medical equipment from China lists the IEC 60601 parts and their current editions.
Ask for: the laboratory’s accredited scope for each test and a report on your exact model and configuration.
Production and acceptance
Inspection before the balance is paid
Sinospect’s pre-shipment inspection checks the goods, labels and documents at the factory against your criteria and gives a release recommendation. USD 350 to 590 per inspector-day, all-in: travel within China and the report included. USD 350 covers quantity, packing, marking, visual and basic function checks; USD 590 an engineer, measurements and functional tests against your test sheet. The quotation states which applies before booking. Illustrative PSI sample (PDF) Request an inspection
QIMA publishes pre-shipment inspection once most of the order is produced. For sterile goods, agree the sampling plan before production, because an opened pack can no longer be sold.
Ask for: acceptance criteria agreed before production, the sampling plan, label and document checks, and a release recommendation.
A production line for medical consumables
Sinospect can supply a production line for consumables under one supply contract, quoted against your specification, output, reject rate and materials. Request a production line quotation When you buy the line from the maker yourself, Sinospect witnesses the factory acceptance test against the agreed protocol for your release decision: Witness day USD 730 per engineer-day where the agreed test plan qualifies. Engineering FATs to our own protocol, and specialist work, are quoted as one fixed price per job. Illustrative FAT sample (PDF) Request FAT witnessing
Smartell in Jiangyin and DKM in Taizhou build turnkey syringe production lines, Smartell infusion set lines as well. IVEN in Shanghai lists a syringe assembling machine, and Focus Works in Yuhuan builds infusion set, syringe and needle machines. The machine price is one line of the project: moulds, cleanroom, sterilisation and validation decide whether the line runs.
Ask for: rated output, reject rate and approved materials written into the FAT protocol, plus moulds, spare parts and operator training.
A device made to your own design
Jabil and Phillips-Medisize publish contract manufacturing for healthcare and medtech companies; Jabil names a site in Shanghai, Phillips-Medisize sites in Dongguan and Suzhou. Forefront Medical manufactures under contract in Changzhou and Xiamen. Settle the regulatory roles before tooling starts.
Ask for: who is the legal manufacturer, who owns the technical file, tooling and registrations, and how design changes are approved.
Tenders, shipping and supply
Manufacturer documents for a tender
Sinospect collects the manufacturer’s side of a tender file: authorisation letters, licences, export certificates, test reports and samples, matched to the tender schedule. The guide to medical tender and registration files lists each document and how to authenticate it.
Ask for: authorisation letters, licences, export certificate and test reports matched to the tender schedule, stamped where the tender requires it.
Shipping regulated medical goods
DHL, Kuehne+Nagel and UPS Healthcare publish logistics for medical devices, including certified sites for regulated goods. Route each item by its own needs: a reagent can need a cold chain when the analyser does not.
Ask for: the temperature range, dangerous-goods handling and the party holding the import licence or registration at destination.
One contracting supplier for the whole order
Sinospect can supply the order on its own invoice and keeps the factory’s final balance conditional on the agreed quality checks passing, on corrective actions being re-verified or on another remedy agreed under the supply contract. Deposits and verified milestone payments can come before final acceptance. For an order you place with the factories yourself, it works service by service at the fees above. Request a supply proposal
Ask for: a supply contract naming the contracting supplier, quality gates, acceptance records and the factory’s final-balance conditions.
Decide who signs off
On an order you place with the factory, keep the release decision with you or with an inspector you appoint and pay; on a buyer-direct assignment Sinospect works for the buyer and is paid by the buyer only. On an order Sinospect supplies, Sinospect is the seller: its inspection is its own control on its own supply, and the supply contract sets the quality gate, the remedies and your acceptance.
Five checks before you pay a deposit
Name the legal manufacturer and the factory for each item, and match the Chinese name on the quotation to the business registry.
Find the product’s NMPA registration or filing and the factory’s production licence or filing in the official records yourself. For an export-only model, ask which export sales certificate (II) or other evidence your destination or tender requires.
Check each certificate where it was issued: ISO 13485 with the certification body; for the EU, the notified body’s designation and scope in NANDO, then the certificate itself with that body and in EUDAMED; an FDA listing or clearance in the FDA databases.
Ask for test reports on your exact model at your rated values, and compare the quotation line by line with the specification.
Agree in writing who holds the registration in your market and what is checked before the balance is paid.
How Sinospect works
Sinospect works in two ways. Service by service, you contract with the factory and Sinospect works at fixed fees. On supply, Sinospect is the contracting supplier, invoices the order and releases the factory’s final balance only after the agreed quality gate is cleared.
Sinospect has sourced, quality-controlled and delivered industrial equipment from China since 2004, working from Hong Kong and, since 2006, from the Ningbo operations office.
Frequently asked questions
Should I use a sourcing agent or buy direct on a platform?
A platform suits a standard product you can specify and check yourself. A sourcing office suits a mixed list, an unfamiliar category or a buyer without staff in China: it narrows the field, collects the makers’ documents and quotes at your quantities, and recommends in writing.
Who registers the device in my country?
The legal manufacturer, through the representative or importer that the destination’s rules require: an authorised representative in the EU, a UK Responsible Person in Great Britain, a US agent for a foreign establishment registered with the FDA, and the authorised representative that Saudi registration services describe for the SFDA. A representative is the authority’s contact; preparing a 510(k) or another submission is separate work. Agree in writing who holds the registration before the first order.
Can a trading company be the right supplier for a hospital list?
Yes, when it states that it trades, names the manufacturer of each item and gives you each manufacturer’s records. A mixed list for a hospital or clinic often runs better through one contracting supplier than through a dozen factories.
What does Sinospect’s sourcing round deliver?
Firm quotations at your quantities from the manufacturers approached, their certificates and test reports, prices to your port and a written recommendation. A round costs USD 1,500 per product family.
Send your equipment list
Send Sinospect the list or tender schedule, quantities and destination. Sinospect sends a first reply within one business day of an enquiry and an initial written assessment, or a request for missing information, within two business days.
